How we approach every engagement
Our engagements are structured around the same core principles regardless of their scope. We begin by listening rather than presenting. We agree the scope in writing before any build work starts. We document what we have done and why, and we describe — plainly — the conditions under which what we have built should not be relied upon.
The sequence matters. A team that understands what it is using, and why, and what its limits are, will maintain it. A team that received a finished product it does not fully understand will, in most cases, quietly stop using it within a year.

Still Surface
AI Listening Engagement
A simple engagement built around listening rather than presenting. We come to your offices for a half day, sit with one or two team leads, and ask a short list of considered open questions about how work currently moves and where attention is spent. We take written notes and follow up with a brief letter summarising what we heard and what, in our considered view, might be worth examining further. There is no slide deck, no proposal embedded in the report, and no obligation to commission further work afterwards.

How it works
Booking: Contact us to arrange a suitable half-day. We confirm the session and provide a brief description of what we will cover.
Session: We arrive at your offices, meet the nominated team leads, and work through our prepared questions. We take notes throughout.
Letter: Within five working days, we send a written summary of what we heard and our considered observations about what might be worth examining further.

Reflective Build
Single Workflow Assembly
We assemble a single AI-supported workflow alongside your team, scoped through a brief written discussion before any build work begins. Typical scopes include a draft-reply helper for routine correspondence, a structured-summary helper for long incoming documents, or an internal Q&A assistant. The engagement includes a written specification, a build phase, a four-week trial with a small chosen group, and a written handover document that includes an honest description of the workflow's limitations and the conditions under which it should not be relied upon.

How it works
Scoping: A brief written exchange to understand the workflow you have in mind and whether it is a good fit for AI support. We produce a written specification for your review and approval.
Build: We work alongside the relevant members of your team to assemble and configure the workflow, typically over two to three weeks.
Trial: A four-week supervised trial with a small chosen group from your organisation, with regular check-ins and any necessary adjustments.
Handover: A written handover document describing how the workflow operates, who is responsible for it, its known limitations, and the conditions under which it should not be used.

Engagement Three
Reservoir Programme
Multi-Workflow Stewardship
A multi-month engagement during which we accompany your team through the practical work of integrating AI thoughtfully into a sequence of connected workflows. We meet fortnightly for working sessions, prepare written progress notes after each, and gradually shift operational responsibility to your in-house staff. Work covers governance considerations, training, vendor coordination, and quarterly written reviews of which capabilities should remain in operation. A closing report describes the present state of each workflow and offers measured recommendations for the year ahead.

How it works
Planning: We agree an initial programme scope in writing — which workflows to address, in what sequence, and at what pace.
Working sessions: Fortnightly sessions at your offices, working through each workflow alongside your team. Written notes are prepared after each.
Quarterly reviews: At the end of each quarter, we produce a written review assessing which capabilities should remain active, which need adjustment, and which are no longer warranted.
Closing report: At the conclusion of the programme, a written report describes the current state of every workflow and sets out measured recommendations for the period ahead.

Standards that apply to every piece of work
Data privacy by default
All vendor data handling terms are reviewed and documented before any tool is recommended. We align with Singapore's PDPA framework as a matter of course.
No embedded conflicts of interest
We do not receive referral fees or commissions from AI tool vendors. Our recommendations are made solely on the basis of fit for the client's actual needs.
Two working day response
We aim to respond to every client message within two working days. For time-sensitive matters, a phone call is generally the more direct route.
